Job Title: Business Administrative Associate

Position Summary and Essential Functions:
The Business Administrative Associate is an administrative support person of the organization and the main operations production and support person for CARS™* and the Financing Fund. Work is managed and performed in a standard production environment and process, with key measurements being quality, quantity, accuracy, timeliness, and team work.
The Business Administrative Associate is required to be self-motivated in the management and performance of scheduled workloads, but should also be flexible to work in a team environment in response to changing business needs and priorities.
Responsibilities include, but are not limited to:
1. General administrative support
a. Provide administrative support to the Senior Vice President, Operations & Administration and the Executive Team leaders excluding the CFO and COO.
b. Prepare Board and Advisory Board packages.
c. Assist in preparation for and execution of annual OFN conference as requested.
d. Proof documents as needed.
2. Communications
a. Communicate with subscribers, CDFIs, and analysts about available reports, subscription status, outstanding contracts, payment, and meeting logistics
b. Prepare and send individual and group mailings as requested
c. Prepare and send html e-mail updates
d. Maintain mailing databases
e. Respond to routine e-mail inquiries from CDFIs and investors about the status of reports, requested logos, ratings certificates, etc.
3. Database maintenance
a. Consistently enter data into various databases used by CARS™ management to track document progress, analysis related time and expenses, order and subscription status
b. As appropriate, provide assistance on analysis of data and summary report preparation
c. Assist in maintenance of contracts and permanent records.
4. Web site maintenance
a. Load data and documents into appropriate “garages” on the CARS™ Web site
b. Update documents and notices in CDFI, investor, and analyst “garages”
5. Ratings Committee
a. Schedule meetings and conference calls by coordinating and confirming attendance, arrange for the meeting dates/equipment/advance materials, etc.
b. Schedule ratings committee, coordinating analyst selection with the EVP CARS™.
6. Document preparation
a. Proof and note corrections on draft CARS™ reports during the layout process.
b. With assistance from the EVP or Sr. Associate, CARS™, prepare and proof all contracts and invoices
c. Proof ratings certificates, ensuring that ratings are correctly represented before they are released to CDFIs
d. Proof all group e-mails and mailings
7. Financing Fund
a. Track and monitor quarterly reports
b. Perform follow up correspondence with borrowers
c. Create and organize loan files
8. Perform all other duties as assigned by supervisor
Education and Experience:
· Associate’s Degree or 3-5 years work experience; Bachelor’s Degree preferred
· 3 years of Administrative training/education or equivalent work experience required
· 3 years experience in Administrative support position highly desirable
· Experience or volunteer work in nonprofit or small office environment a plus
Knowledge, Skills, Responsibilities and Physical Requirements:
· Type 50 WPM Accurately
· Advanced Excel and Word skills
· Ability to work in a timely manner and be self-motivated and take initiative for new projects
· Ability to work independently or in team environment as required
· Ability to manage multiple tasks under direct supervision in effective and efficient manner
· Excellent analytical and organizational skills required
· Excellent and professional written and verbal communication skills required
· Capacity and willingness to learn
· Ability to work well with diverse constituents is required
· Knowledge of and commitment to community development is highly beneficial
· Light travel required (<10%)
· No extraordinary physical requirements beyond ability to travel
· Job involves normal physical requirements for an office position EOE/ADA Compliant
Salary: $35,000 – $45,000 annually
